Guild Venue Booking Form

Guild clubs are able to book a range of Guild-controlled venues and spaces for free throughout the year. These spaces offer a flexible alternative to Curtin-controlled rooms and spaces (via Room Bookings), and as such can be booked at shorter notice and with fewer restrictions and paperwork.

MINIMUM NOTICE REQUIRED
  • Club HQ & the Pop-Up Function Space can usually be booked for same-day use if available.
  • All other venue bookings require a minimum of three business days' notice
  • Function pack add-ons require a minimum of two weeks' notice

Bookings in the spaces outlined within this form do not require an Event Application Form (EAF), unless requested by the Clubs Officer.

Limited spaces are available along Guild promenade (under eaves), outside 106 buildings, for pop-up club trestle stalls.

This is the email where booking confirmation and any further questions about your request will be sent.

Please note that only club committee members are permitted to make bookings on behalf of a club.

Please note that there may be a slight delay in booking requests being processed and uploaded to this calendar, so not all dates showing as "free" are guaranteed to be available. In the case of multiple clubs requesting the same date, the booking will be awarded to the club who lodged their booking first.

Remember to allow sufficient time to set up the space, if applicable. For Club HQ & Pop-Up Function Space bookings, you will only be able to collect the key and gain access to the room 15min prior to the start time you nominate here, so please adjust your booking time to start earlier if you need longer than this to set up. Bookings starting after 4pm require the key to be collected from the Guild by no later than 3:45pm.

Remember to allow enough time to tidy up, re-set the space, and for everyone to leave. For Club HQ & Pop-Up Function Space bookings, you must vacate the room and return the key to us within 15 minutes of the end-time you nominate at this question, so please add extra time on the end if you think you may need it. Club HQ bookings finishing after 4pm will require the key to be returned to us prior to 9:30am the next business day.

Please provide plenty of detail so that we have a clear view of what you will be doing in/with the venue.

Please note that if you have added a Club Movie Night to your booking, entry fees cannot be charged due to film copyright licensing conditions.

General Booking Terms and Conditions:

  1. Key must be returned on time for Club HQ & Pop-Up Function Space bookings, as specified in your confirmation email.
  2. Bond payment of $50 (EFT only) is required for all Club HQ & Pop-Up Function Space bookings. Payment is required on day of booking when picking up the venue key. Bond deposit will be fully refunded upon key return back onto the debit or credit card from which the deposit was originally paid, provided that all terms and conditions have been met.
  3. All spaces must be left in a clean and tidy condition, and returned to the layout the space was in when you arrived.
  4. Damage to property or equipment will incur full cost of any repair or replacement being charged to your club.
  5. Strictly no alcohol permitted in Club HQ or Pop-Up Function Space.
  6. Strictly no BYO alcohol or food permitted at the Tav.
  7. No amplified music or excessive noise permitted. (60dB limit at all times.)
  8. Bookings in the spaces outlined within this form do not require an Event Application Form (EAF), unless requested by the Clubs Officer.
  9. Bookings are not confirmed until receipt of a formal booking confirmation email from the Clubs Officer.

Club Function Pack Terms and Conditions:

  1. Packs are only available to clubs who are currently registered with the Guild.
  2. All Kirribilli Club Packs must be picked up from Main Café between 8am – 4pm, Monday – Friday. Please also note that food is not to be collected any earlier than 30 minutes before your function start time, due to food safety regulations. (Excludes Pack 4: Snack Attack.) Platters must be returned to Main Café after your event. If your event finishes outside of Main Cafe trading hours, platters must be returned prior to 12 noon on the next business day. All Kirribilli packs come with disposable cups, napkins, and plates. Additions or alterations to the set “club packs” are subject to additional charges. Any additional costs must be paid in advance prior to booking being confirmed.
  3. All club function packs (both Kirribilli and Tav) cancelled with less than one week's notice will result in forfeiture of your club function pack for the year. Forfeited packs will not be reissued for future use.
  4. For movie nights, your pack is considered used immediately after this booking form has been lodged, accepted, and confirmed by the Club Support team via email. In the event of a movie night cancellation, regardless of notice given, the pack is forfeited and will not be reissued for future use. This is to cover the non-refundable cost that the Guild incurs for obtaining the public screening license and a copy of your chosen film, regardless of whether the screening takes place or not.
  5. Different packs are designed to accommodate different varying numbers of attendees / guests. Some Tav Club Packs also have minimum and maximum attendance restrictions. Please refer to the relevant Pack for further details. Acceptance of these terms and submission of this forms indicates acceptance of any such restrictions.
  6. Any request to cancel or reschedule a function pack must provide a minimum of one week's notice, in writing, to clubs@guild.curtin.edu.au. Movie Night packs cannot be cancelled at all after booking confirmation is received (see item 5 above), however rescheduling of a movie night may be possible (subject to availability) - a minimum of one week's notice must be given in order for this to be considered. All other packs may be cancelled without penalty provided the minimum one week's notice is provided. Any cancellation or postponement requests that do not meet the aforementioned requirements will result in the club forfeiting their Club Function Pack for the year.

Pop-Up Trestle Stall Terms & Conditions

  • Bond deposit for trestle tables is $10 per table, plus one student ID, up to a maximum of $50. Your deposit must be paid on the day of your booking via Guild Reception (EFTPOS only - no cash) when picking up your item/s. Bond deposit will be fully refunded upon item return back onto the debit or credit card from which the deposit was originally paid, provided that the following bond conditions are met:
    • All items returned, no pieces missing (where applicable);
    • Items returned in a clean and undamaged condition.
    • Items returned on time.
  • Bond will be forfeited if any of the above conditions are breached.
  • Any damage to equipment will require your club to pay the full cost of any repair or replacement.
  • Set up of pop-up club stalls is subject to the following conditions:
    • Can only be set up in pre-determined locations within the 106 Guild Precinct, at the instruction of Guild staff.
    • No food or beverages to be sold or given away;
    • No equipment to be plugged into electrical outlets;
    • No music to be played unless approved by the Clubs Officer in advance;
    • No physical or messy activities permitted, nor activities posing significant risk;
    • No commercial advertising on behalf of external organisations;
    • No solicitation of students and/or passers-by. Persons must approach your stall if interested, you may not intercept or approach.
  • Pop up stalls that do not meet the conditions outlined above, as well as any other use of equipment in locations outside of Guild Precinct, requires lodgement of an EAF (Event Application Form) to book the space - must be submitted at least three weeks in advance.
