Club Function Packs & BBQ Packs

Please note that for 2020 (due to COVID-19 impacts), clubs are able to select either one club function pack or one club BBQ per year. (More info HERE.)

Unfortunately you will be ineligible to book a Club Function Pack if your club has already claimed any Club Function Pack or run a BBQ previously this year, unless your club is willing to pay full retail cost ($POA). In 2020, all Guild-registered clubs and societies are eligible for their choice of either:

  • One (1) x Club Function Packs per year; or
  • One (1) Club BBQ per year (100 serves).

Club Function Packs are provided through the Curtin Tav and/or Kirribilli Catering (both of which are operated by the Curtin Student Guild). Tav Packs are strictly for use for events held inside the Tavern, whilst Kirribilli Packs may be used for any event held on campus (Monday to Friday only). BBQs are to be run in the 106 Precinct (outside Guild Reception), unless an alternate venue has been booked using this form.

    • Sundowner Pack  (1 x sushi platter, 1 x Asian platter, 4 x assorted pizzas, 1 x chips platter, 4 x assorted soft drink jugs) - serves approx. 25
    • NEW Share Table Pack - (2 x garlic bread, 4 x assorted pizzas, 1 x bowl of chips, 1 x bowl of sweet potato fries) - serves up to 12

  • BBQ Packs - serve 100 - includes free hire of commercial-grade BBQ inc. gas bottle; 3 trestle tables; serving utensils & equipment; napkins (sausage sizzle option) or biodegradable plates & cutlery (pancake option) to serve; aprons & gloves.
    • Sausage Sizzle Option (90 halal beef sausages, 10 vegan sausages/patties, 100 hotdog buns, sliced onions, cooking oil, sauce)
    • Vegan Sausage Sizzle Option (100 vegan sausages/patties, 100 hotdog buns, sliced onions, cooking oil, sauce)
    • Pancake Option (pancake batter, berry compote, maple flavoured syrup, icing sugar)
    • Additional Packs available at a cost of $190 per 100-serve pack.
    • Every club representative involved or assisting in any way with cooking or serving food at a club BBQ is required to complete the mandatory COVID-19 Hygiene Officer Course, via this link

Dates & Availability
To book a function pack or BBQ, please submit this form a minimum of three weeks prior to your proposed event date. All bookings are subject to availability.

Please note that there may be a delay in bookings being uploaded to this calendar, so not all dates showing as "free" are guaranteed to be available. In the case of multiple clubs requesting the same date, the booking will be awarded to the club who lodged their booking first. 


Cancellations & Requests to Reschedule
Any request to cancel or reschedule a function pack or BBQ must provide a minimum of one week's notice in writing (via email) to clubs@guild.curtin.edu.au. Movie Night packs cannot be cancelled at all after booking confirmation is received, due to movie rights and movie being purchased by the Guild at the time of booking. Rescheduling of a movie night may be possible (subject to availability), however a minimum of one week's notice must still be given in order for this to be considered. All other packs may be cancelled without penalty if the one week minimum notice is provided.  Any cancellations or postponement requests that do not meet the aforementioned requirements will result in the club forfeiting their available Club Function/BBQ Pack for the year.

(Price on application depending on which pack is chosen, however the fee is $350.00 for most pack options.)

    • Location requests outside of the default BBQ location will be assessed on a case-by-case basis. They require additional steps to be completed as well as provision of at least four weeks' notice (rather than two).

Please note that entry fees cannot be charged for Club Movie Nights, due to film copyright licensing conditions.

  • Please note that alterations, additions, or substitutions to Club Function Packs are subject to approval.
  • Most changes will incur additional charges, which will be quoted upon receiving your order.
  • For Kirribilli packs, any additional costs must be paid up front at Guild Reception prior to confirmation of your booking.
  • For Tav packs, any additional costs must be paid upfront via cash/EFTPOS on the day of your event (prior to start time).

BBQ Packs: Terms and Conditions

  • All club representatives involved or assisting with cooking or serving food are required to complete the mandatory COVID-19 Hygiene Officer Course, via this link
  • BBQ can be booked Monday - Friday, 10am - 3pm (subject to availability)
  • Default pre-approved BBQ location is under the eaves, facing out to the semi-circle area in front of Building 106F (Guild Reception)
  • Location requests outside of the default BBQ location will be assessed on a case-by-case basis. They require additional steps to be completed (as per this form), as well as provision of at least four weeks' notice (rather than two).
  • A $50 refundable bond deposit and one student ID card is required to book BBQ packs. Your deposit must be paid on the day of your booking via Guild Reception (EFTPOS only - no cash) when picking up your equipment and food. Bond deposit will be fully refunded upon equipment return back onto the debit or credit card from which the deposit was originally paid, provided that the following bond conditions are met:
    • equipment and utensils returned in full;
    • all rubbish and food waste disposed of;
    • prep and service area returned to its original condition (including removal of any temporary posters/signs);
    • no damages to the BBQ or other equipment;
    • BBQ, equipment and utensils cleaned thoroughly
  • Bond will be forfeited if any of the above conditions are breached.
  • Additional packs (after free pack is redeemed) must be paid up-front to secure booking (can be done at Guild Reception via cash/EFTPOS).
  • Damage to property or equipment will incur full cost of any repair or replacement being charged to your club.
  • Food must be picked up between 9am – 2pm from the back kitchen of Main Café (via back entrance near skip bins), on day of BBQ. Visit Guild Reception first to obtain a pick-up slip, which must be presented to café staff in order to collect ingredients.
  • BBQ guidelines, food safety guidelines, health and safety risk assessment, and directions from Guild staff must be adhered to at all times.
  • No additional food or drinks are to be cooked or distributed at your club BBQ (outside of those included within the default BBQ pack), due to the conditions stipulated by our Annual BBQ Food Permit from the Town of Victoria Park.
  • Bookings are not confirmed until receipt of a formal booking confirmation email from Guild Reception. 
  • Cancellations less than one week prior to booked date will not be refunded or rescheduled, and may result in financial penalty.

Function Packs: Terms & Conditions

  1. Packs are only available to clubs who are currently registered with the Guild.
  2. All Kirribilli Club Packs must be picked up from Main Café between 8am – 4pm, Monday – Friday. Please also note that food is not to be collected any earlier than 30 minutes before your function start time, due to food safety regulations. (Excludes Pack 4: Snack Attack.) Platters must be returned to Main Café after your event. If your event finishes outside of Main Cafe trading hours, platters must be returned prior to 12 noon on the next business day. All Kirribilli packs come with disposable cups, napkins, and plates. Additions or alterations to the set “club packs” are subject to additional charges. Any additional costs must be paid in advance prior to booking being confirmed.
  3. All club function packs (both Kirribilli and Tav) cancelled with less than one week's notice will result in forfeiture of your club function pack for the year. Forfeited packs will not be reissued for future use.
  4. For movie nights, your pack is considered used immediately after this booking form has been lodged, accepted, and confirmed by the Club Support team via email. In the event of a movie night cancellation, regardless of notice given, the pack is forfeited and will not be reissued for future use. This is to cover the non-refundable cost that the Guild incurs for obtaining the public screening license and a copy of your chosen film, regardless of whether the screening takes place or not.
  5. Different packs are designed to accommodate different varying numbers of attendees / guests. Some Tav Club Packs also have minimum and maximum attendance restrictions. Please refer to the relevant Pack for further details. Acceptance of these terms and submission of this forms indicates acceptance of any such restrictions.
  6. Any request to cancel or reschedule a function pack must provide a minimum of one week's notice, in writing, to clubs@guild.curtin.edu.au. Movie Night packs cannot be cancelled at all after booking confirmation is received (see item 5 above), however rescheduling of a movie night may be possible (subject to availability) - a minimum of one week's notice must be given in order for this to be considered. All other packs may be cancelled without penalty provided the minimum one week's notice is provided. Any cancellation or postponement requests that do not meet the aforementioned requirements will result in the club forfeiting their Club Function Pack for the year.
